Do you need a booking system? A practical guide for tradespeople
The paper diary, the texts, the WhatsApps, and a very good memory — that’s how most trade businesses run their bookings, and for a while it genuinely works. This guide is about spotting the moment it stops working, and knowing what actually matters (and what doesn’t) if you decide to change it.
The system you have now
Be honest about what your current “system” looks like: jobs pencilled in the van diary, half-agreed over text, a quote promised on a scrap of timber, and this evening’s admin done at the kitchen table when you’re already knackered. Let customers book without you
The point isn’t a prettier calendar — it’s that a customer can pick a slot at 9pm on a Sunday, from your website or a link you text them, without you touching your phone. If you still have to be in the loop for every booking, you’ve bought a diary, not a system.
Sync with the calendar you already use
If you live in Google Calendar or Outlook, the system must read and write to it — bookings land there, and your existing appointments block out availability so you can’t be double-booked. What to be wary of

- Per-user pricing that punishes growth. Check what happens to the bill when you add a second pair of hands.
- Systems built for other countries. Prices in dollars, dates the wrong way round, no VAT handling — small frictions that never go away.
- Anything that traps your data. You should be able to get your customer list out if you ever leave.
- The setup cliff. Some tools assume you’ll spend a weekend configuring services, prices and templates. If you’d rather not, look for done-for-you setup — it’s the difference between “bought it” and “using it”.
